1. Minimum 1-2 years experience administrative support using MS products including Outlook, Excel, Visio, SharePoint

2. Minimum 1-2 year experience supporting a team in a fast-paced environment

3. Minimum 1-2 years experience planning and executing events, new hire onboarding, and equipment management. Ordering and shipping hardware, onsite asset management, and onsite moral planning.

Typical Day in the Role

Key projects: As the first point of contact for all group administrative needs, this position is committed to providing exceptional customer service and team support. Partner closely with other admins in the organization to ensure smooth operations, including morale and team event planning, miscellaneous project management, procurement and purchase order management, hardware and asset management, vendor staff setup, headcount operations, and new hire onboarding. Additionally, assist in space planning and management, including office moves, and support organization-wide events.

Typical task breakdown and operating rhythm: Typical day in the role will include 80% team support- new hire onboarding/offboarding FTEs, hardware purchasing/management, creating and managing purchase orders, headcount operations, moral event planning, 10% special projects, and 10% adhoc. No Calendaring in this role.

Candidate Requirements

Years of Experience Required: 2 years of experience required for the role.

Degrees or certifications required: BA/BS degree preferred.

To be successful, you will anticipate and remove administrative roadblocks; make timely decisions; have strong planning and organizational skills; experience working with financials and budgeting; and experience supporting teams with domestic and international employees. You will build effective working relationships across boundaries and accommodate work styles and perspectives of diverse individuals around the world. This position requires to work onsite five days per week, as remote work is not offered.

  • 3+ years of experience supporting a team in a fast-paced environment.
  • Experience in planning and executing events and morale initiatives to foster team engagement and collaboration.
  • Strong interpersonal and communication skills to foster collaboration and alignment across teams and vendors, ensuring seamless execution of administrative and operational tasks.
  • Proficiency in MS internal applications such as IDWeb, MS Space, MyOrder & Procurement, and similar tools.
