Job Description

The Out-of-Door Academy seeks a Lower School Executive Assistant and Receptionist to join a thriving division on our Siesta Key campus that is committed to providing a relevant and student-centered learning experience.

Responsibilities - Reporting to the Head of Lower School- Siesta Key, the Lower School Executive Assistant and Receptionist will be responsible for the following:

  • Act as the first point of contact for the school: welcoming all incoming students, families, and guests respectfully and professionally while responding to inquiries in a helpful and constructive manner and ensuring that appropriate actions are taken in a timely manner.
  • Perform general clerical functions for the purpose of supporting and maintaining professional front office operations.
  • Maintain appearance of the Lower School lobby, front desk, and faculty kitchen. Organize and stock educator workroom.
  • Maintain schedule of all activities on the Lower School campus for purposes of directing guests/visitors appropriately.
  • Prepare and distribute daily attendance, absences, and tardy reports; enter information into the School Pass and Blackbaud student information systems; generate lists, rosters, and reports as needed.
  • Manage and coordinate the Lower School Master calendar, year-end student events, receptions, and graduations in coordination with the Lower School Administration.
  • Provide administrative functions of Lower School registrar, including scanning, filing, responding to request for records, and coordinating progress reports.
  • Manages substitute schedules and placements for Lower School.

Qualifications - The following experience, skills & knowledge are required and/or preferred:

  • High School graduate or equivalent required.
  • 2+ years’ experience as an administrative assistant and/or receptionist required.
  • Strong interpersonal skills; Self-directed individual who is solution oriented, flexible and works well with teams and individuals while possessing a positive attitude.
  • Ability to multi-task/exceptional attention to detail.
  • Must possess strong writing, verbal, and organizational skills; Must have knowledge of and be comfortable working with technology.

Compensation and Benefits

This is a 12-month full-time non-exempt position available January 2025.  Compensation is highly competitive and commensurate with experience and includes a comprehensive benefits package.
