Office Administrative Assistant Guardian Angels Catholic Parish, Mead, CO Job Description: Office Admin Assistant Part-time, Non-Exempt, Hourly SUMMARY The Office Admin Assistant is the parish's staff member in support of the parish, Business Manager, and Pastor. Performs general receptionist tasks, oversees inventory of office supplies, and maintains parish offering envelope system, parish registration process, and service on office machines. Requires extensive secretarial experience.
ESSENTIAL DUTIES AND RESPONSIBILTIES include the following: (Note: other duties may be assigned as necessary and appropriate)
- Receptionist and Hospitality
- Provide hospitality and assistance for whomever comes or calls the Parish Office
- Receive and transfer telephone calls, take messages, sort and distribute mail
- Register and provide Welcome Packet to new parishioners
- Coordinate parish staff/volunteer recognition program
- Maintain a safe, secure, and pleasant work environment
- Record mass intentions in desktop calendar, track stipends received/paid, and prepare weekly Mass Intention schedule for the altar
- Oversee Archdiocese communication/process requests
- October Mass Counts
- Archbishop's Catholic Appeal
- Second Collections
- Complete various administrative requests from the Pastor and/or Deacons
- Order liturgical supplies and materials
- General Office
- Oversee all aspects of running the parish office including the telephones, copier/printers, signage, bulletin board, computers, and scheduling
- Point person for events, maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Perform general clerical work
- Assist in advertising, marketing, and publicizing the parish by preparing and distributing materials
- Keep everything orderly and organized
- Clean as needed - dust, vacuum, blinds, windows - or coordinate with Maintenance
- Track office supplies
- Keep hall closets organized and free of clutter
- Work with staff and committees to clean as needed
- Get the mail and distribute to the appropriate staff
- Keep parish and desk calendar updated
- Partner with Business Manager to keep processes and procedures efficient and effective

- Maintain Operating Budget for the Administration Department accounts
- Maintain data in the parish database, Parish Data System
- Maintains memberships and subscriptions
- Oversee business volunteers and provide weekly assistance
- File invoices, etc as needed
- Other projects as needed from Pastor and Business Manager
- Convey information, questions, and concerns to the pastor on and during work days
- Submit reimbursements upon the pastor's approval to the Business Manager
JOB REQUIREMENTS - Reports directly to the Pastor
- College degree or work in field equivalent
- Excellence at all hospitality skills and ministry
- Excellent time management and organizational skills with the ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Familiarity with necessary software programs on parish computer

- Accuracy of data entry and retrieval
- All computer work is proprietary to the parish during employment, therefore all work must be done on a parish provided computer; if you do any work at home, please always transfer data to parish computer

- This position requires periodic evenings and/or weekend work.
WORKING HOURS - Requires some variable hours and on call response after regular business hours to meet the needs of the parish. Requires some weekend, holiday and evening work for events or the ability to arrange coverage. These times include but are not limited to Christmas season, Holy Week/Easter, fundraisers, after mass functions, etc. Local travel for business purposes and occasional overnight travel for parish training, etc may also be required. The position is to average 100 hours per month, working 8-10 hours a week.
Qualifications The Office Admin Assistant is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office volunteer supervision, and task delegation.
