Job Title: Administrative Assistant (Contract – Maternity Leave Coverage)

Location: Chicago, IL (Hybrid – mostly remote, occasional on-site)

Industry: Healthcare

Compensation: $26 – $28 / hour

Work Schedule: Monday–Friday, 9:00am–5:00pm

About Our Client

Addison Group is working with a healthcare organization that is seeking a detail-oriented Administrative Assistant to provide support to their Facilities and Procurement team. This is a contract role covering a maternity leave, with an anticipated duration through early 2026.

Job Description

The Administrative Assistant will play a key role in supporting procurement and contracting processes for large-scale construction, infrastructure, and maintenance projects. This position will handle contract administration, vendor coordination, and documentation management while ensuring compliance with internal policies and industry standards.

Key Responsibilities

  • Conduct research on suppliers and support the vendor qualification process for design, construction, and related projects.
  • Assist with procurement administration, including RFP/RFQ/RFI tracking, maintaining bidder lists, and coordinating communications with vendors and internal stakeholders.
  • Prepare and process contracts, change orders, purchase requisitions, and invoices; ensure accurate records and compliance with contract terms.
  • Support reporting and auditing activities by compiling procurement data and assisting in the development of process improvements.
  • Manage administrative workflows in project management software, acting as a subject matter resource for procurement and contract functions.
  • Collaborate with leadership, project managers, and vendors to ensure timely execution of agreements and cost-effective solutions.

Qualifications

  • Bachelor’s degree preferred, or equivalent combination of education and experience.
  • Prior experience in procurement, contracting, or administrative support for large projects strongly preferred.
  • Familiarity with project management or procurement software is a plus (e.g., Workday, eBuilder, DocuSign).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent communication and coordination skills across teams and vendors.

Additional Details

  • Contract role through end of 2025/early 2026.
  • Equipment (laptop) will be provided.
  • Background check, drug screen, and health clearance required prior to start.
  • Anticipated start date: late October.
