About the Role

Sigma, Inc. is seeking a detail-oriented Practice Assistant - Administrative to support a specialty medical practice at Beth Israel Lahey Health Hospital in Wellesley, MA . This is a fast-paced, patient-focused position responsible for managing high-volume calls, scheduling, patient communication, and ensuring smooth daily clinic operations.

Important: Candidate must have been separated from BILH for at least 6 months to qualify.

Key Responsibilities
  • Answer, screen, and manage a high volume of incoming calls in a professional, friendly manner.
  • Utilize approved phone scripts, triage guidelines, and independent judgment to determine appointment type, appropriate provider, and urgency level.
  • Schedule patient appointments using centralized scheduling systems and software applications.
  • Verify and update patient demographic information , payer details, and insurance requirements.
  • Obtain referrals for scheduled visits and accurately document information.
  • Provide patients with detailed instructions regarding required documents, test preparation, and visit protocols.
  • Coordinate scheduling for office visits, diagnostic tests, and procedures to optimize provider time and patient flow.
  • Address scheduling issues and escalate concerns to clinic management as needed.
  • Record messages accurately and route them to providers or relevant staff.
  • Triage urgent calls and route them appropriately for immediate attention.
  • Respond to provider emails and information requests in a timely and professional manner.
  • Deliver exceptional service to patients, providers, and internal clinical teams.
Required Qualifications
  • High School Diploma or GED required; Associate's degree preferred .
  • 1-3 years of administrative, healthcare, or call center experience .
  • Strong proficiency with computer systems , including web-based tools and Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Knowledge of basic medical terminology .
  • Excellent communication, customer service, and multitasking skills.
